Get the Word Out!

MCC Employees: want to get the word out about an event, activity, program or service? Use the MCC Intranet to share your announcements with college employees and the Institutional Advancement team.

The MCC Intranet allows for centralized and standardized intake. Employees will be able to find your announcement at any time. Furthermore, each business day a college-wide email containing a summary of the previous day’s announcements will be sent to all employees.

The MCC Intranet is also where IA staff will be able to review your announcements for further promotion.

Announcements fit into three categories: General Announcements, Recognitions, and Event Announcements.

General Announcements and Recognitions

General announcements include topics such as a new program or service. These are announcements that do not have a scheduled date or time. In these instances, you would use the Around the College content type.

If you want to highlight an accomplishment for an employee or a department, you would use the Recognition content type.

Event Announcements

Upcoming events fall into the Event Announcement content type.

With Event Announcements, you will be able to share basic details about your event, as well include event-specific information such as:

  • Dates and times for the event, including multiple dates and times
  • Intended Audience
  • Event tags (themes, event types, specific groups)
  • Event format
  • Event location
  • Event link (RSVP form, tickets)

Like other announcements, your Event Announcement will be included in the MCC Intranet and in the daily email summary.

However, the biggest benefit is that your event will be included in event calendars on the MCC Intranet and public events may be promoted to the MCC website.

Events tagged as public will be reviewed by IA or other trained users. If the event team approves the promotion of your event, the announcement will automatically be published on the MCC website’s public events calendar (mesacc.edu/events). Depending on your selected Event Tags, your event may be published on departmental event calendars as well. Additionally, your event may be promoted to the electronic marquees, electronic bulletin boards and social media.

Should you need to make changes to an event, such as a rescheduled date or time, you have the ability to make those updates yourself. Any updates will be carried across our websites automatically.

If your event is using facilities space on campus, be sure to submit the request in 25Live. 25Live and this system are not connected.

Event Accessibility

MCC is obligated by federal and state laws to ensure program accessibility to persons with disabilities, to provide reasonable accommodations to afford access, to remove barriers to full participation, and to modify policies, practices, or procedures as necessary to afford access for an individual.

Please keep this in mind when planning your event. You will be expected to have an event organizer listed as a contact for your event along with an accessibility statement.

Here are some examples:

  • We strive to host inclusive, accessible events that enable all individuals, including individuals with disabilities, to engage fully. To request an accommodation or for inquiries about accessibility, please contact (name) at (phone and email).
  • Persons with disabilities who anticipate needing accommodations or who have questions about physical access may call [telephone number of the sponsor] in advance of the program [or film, event, etc.].
  • It’s our policy to make information accessible to all MCC students, faculty, staff, and the general public. If you require this material in an alternate format, please contact the Disability Resources and Services at 480-461-7447.

Guidelines for Event Promotion

  • Event is open to the public
  • Event or activity is sponsored by MCC, its programs, services, and/or recognized clubs
  • Events must take place on an MCC campus or location
  • Announcements must be submitted three weeks prior to the time they appear on media.
  • Individuals who submit announcements are responsible for content.
  • Changes for events promoted to electronic marquees and electronic bulletin boards must alert the IA staff at 480-461-7794.
  • Messages are subject to the Technology Resource Standards and Acceptable Standards for District-Wide Message Posting set forth by the Maricopa County Community College District.

The MCC Event Calendar may not be used for advertising campus classes or advertising community public events that are not affiliated with the college or college facility space.

Flyers

If your announcement has a flyer, there are some guidelines. The flyer must be free of grammar and spelling errors (have one or more people proofread it for you). It must also contain the items below per the Brand Standards. The District logo, positioned and sized appropriately (no smaller than 1.25 inches), should be included whenever its inclusion will not hinder the message or graphic appeal of the document. Flyers that do not meet these specifications will not be used.

  1. MCC logo – positioned and sized appropriately, no smaller than 1.75 inches.
  2. District logo – (positioned and sized appropriately, no smaller than 1.25 inches) whenever its inclusion will not hinder message or graphic appeal of the document.

Electronic Marquees

The marquee at the Southern and Dobson campus is located on Dobson Road adjacent to the Library. The Red Mountain marquee is on Power Road north of McKellips.

Types of information that will be posted

  • MCC events, activities, programs/career pathways, or services that are open to the public and/or are sponsored by MCC.
  • Congratulatory messages for college-wide outstanding achievements.
  • Public service announcements that affect the surrounding community.

The marquee may not be used for advertising individual classes or community public events that are not affiliated with the college. Only new classes/programs will be advertised. IA reserves the right to edit submissions for length, punctuation, formatting and images.

Electronic Bulletin Boards

Electronic bulletin boards are located in hallways and gathering areas throughout MCC's campuses. The same messages appear at all campuses, so make sure to include campus location information.

Types of information that will be posted

  • MCC events, activities, programs/career pathways, or services that are open to the public and/or are sponsored by MCC.
  • Congratulatory messages for college-wide outstanding achievements.
  • Public service announcements that affect the surrounding community.

Format

  • Images must be 1280 px by 720 px (JPEG) and landscape orientation
  • Videos must be H.264 codec (mp4 or mov) 1280 px by 720 px, 30 fps, and landscape orientation

The electronic bulletin board may not be used for advertising individual classes or community public events that are not affiliated with the college. Only new classes/programs will be advertised. IA reserves the right to edit submissions for length, punctuation, formatting and images.

Social Media

Mesa Community College will share items submitted via Event Announcements on the college Facebook page. Additionally, Institutional Advancement has developed the following information to help you plan and develop your own Social Media outlets for your department, club or committee:

Photography

The responsibility for event photography has shifted from Institutional Advancement to individual departments, student organizations, and clubs. Additional information is available in Photography Services and Guidelines.

College-wide Email

College-wide email is reserved for crisis communication and important messages from the President, Thunderbird Leadership Team, Institutional Advancement, College Police and Intranet update announcements. Attempts to send messages to the college-wide email list and replies to the account will only be seen by account administrators.
